The HR Operations Specialist (International) plays a key role in creating a great employee experience while ensuring smooth and reliable HR operations across their region. This role combines hands-on HR administration with Office & Feelgood Management, making it ideal for someone who enjoys working at the intersection of people, organization and culture. You will support the local HR Manager throughout the employee lifecycle and act as a trusted point of contact for employees. In addition, you will actively contribute ideas that strengthen our company culture and create an engaging and welcoming workplace.
Responsibilities:
- Act as a great host by warmly welcoming employees, guests and external partners and interacting with them openly and professionally
- Coordinate and manage the day-to-day operations of our office and create a welcoming, well-organized and enjoyable working environment
- Proactively identify opportunities to improve the employee experience and continuously develop our workplace by bringing creative ideas and initiatives to life that strengthen employee engagement, wellbeing and our company culture
- Organize and coordinate team and culture events, including Summer and Christmas Parties, End-of-Month Lunches, employee birthdays and other ad-hoc activities
- Partner with our global Culture and Sustainability teams to exchange ideas, coordinate local activities and share best practices across regions
- Coordinate and manage relationships with third-party suppliers, such as cleaning services, craftsmen and other office-related vendors
- Provide operative and administrative support to the HR Manager throughout the employee lifecycle in a confidential and sensitive manner, including onboarding, offboarding,employee documentation and general employee requests
- Support HR administration for the specific region, including the preparation and coordination of employment contracts, contract amendments and other employee-related documents
- Support the HR Manager with benefits administration, including coordination with benefit providers and other external vendors
- Ensure employee data and documentation are accurately maintained and up to date across HR systems and personnel files
Minimum Qualifications:
- Professional experience in Office Management/Feelgood Management or a service-oriented environment such as hospitality, hotel, tourism or gastronomy
- Alternatively, initial HR experience through internships, working student positions or similar roles, combined with a strong interest in HR Operations and Office Management
- Good interpersonal skills with an open, approachable and empathetic personality, making it easy for you to build positive relationships and understand the needs of employees, colleagues and guests
- A reliable, independent and hands-on working style combined with a genuine interest in people, culture and creating a great workplace
- Strong passion for organizing events from scratch and creating memorable experiences and unforgettable moments for our employees
- Creativity and enthusiasm for developing new ideas, events and initiatives that improve the employee experience and strengthen our company culture
- Proactive, hands-on and solution-oriented approach with a willingness to take ownership
- Good organizational skills with the ability to structure priorities, manage deadlines and keep track of details across different areas of responsibility
- Ability to work with budgets, monitor spending and maintain financial discipline
- Attention to detail and a high level of accuracy, particularly when handling employee data and documentation
- High level of confidentiality, discretion and integrity when working with sensitive HR information
- Experience with HRIS systems such as Workday, Personio, HiBoB, BambooHR or similar systems is a plus
