Merchandising Operations Executive
Job Overview -
The Senior Merchandise Operations Executive will act as a key day-to-day liaison between Buying, Planning, Trade, Logistics, and other cross-functional teams. The role is responsible for developing strong internal and vendor relationships, coordinating merchandise operations, and helping ensure a seamless product lifecycle from receipt and quality control through to launch and sample management. The successful candidate will combine strong operational expertise with excellent stakeholder management, using data and product knowledge to resolve issues, improve processes, and support the timely launch of products and campaigns.
What You’ll Be Doing -
• Building and maintaining strong working relationships with Buying teams, brand partners, third-party vendors, and internal stakeholders
• Supporting the Planning team to ensure the correct products and quantities are received from vendors
• Maintaining regular communication with vendors to follow up on outstanding operational and compliance matters
• Tracking and investigating vendor chargebacks, communicating findings, and supporting the resolution of discrepancies
• Recording and monitoring vendor compliance issues and reconciling monthly vendor charges and damages
• Coordinating the return of damaged products and producing seasonal damage reports at brand, category, and SKU level
• Working closely with Logistics to ensure expected products are processed through the required quality-control procedures
• Supporting product inspections and providing guidance on product style, quality, and acceptance standards
• Applying knowledge of product fit, brand requirements, and market trends to assess damaged items and recommend appropriate solutions or exceptions
• Partnering with Planning, Buying, and vendor teams to resolve product issues that fall outside established guidelines
• Supporting product review meetings, facilitating stakeholder feedback, and providing informed recommendations to resolve quality concerns
• Resolving product queries across inbound, quality, damage, and other operational areas in partnership with Logistics and Supply Chain teams
• Identifying operational challenges and recommending process or system improvements that increase accuracy and efficiency
• Collaborating with Production, Digital Merchandising, Buying, and other teams to ensure products launch according to target dates and campaign requirements
• Coordinating and organising samples for editorial and product photo shoots with internal teams and vendors
• Keeping relevant departments informed when samples are received, checked in, dispatched, or returned
• Maintaining accurate visibility of sample locations and status throughout the production process
• Working with Studio, Editorial, Brand Marketing, and Warehouse teams to ensure products are returned to stock promptly and all stock movements are communicated
• Sharing expertise, providing guidance, and supporting the development of junior team members where required
What We’re Looking For -
• Bachelor’s degree, preferably in Fashion, Merchandising, Business, or a related field
• At least 5 years of relevant experience within the fashion industry
• E-commerce experience or exposure to Merchandising, Buying, Planning, and inbound warehouse functions is preferred
• Strong numerical and analytical skills, with excellent attention to detail and accuracy
• Good knowledge of merchandise operations, product quality, and warehouse processes
• A proactive, process-driven, and results-oriented approach
• Strong verbal and written communication skills, with the confidence to present, train, and engage stakeholders at different levels of seniority
• Proven ability to build productive working relationships with vendors and cross-functional teams
• Strong problem-solving skills, with the confidence to challenge existing processes and implement practical solutions
• The ability to work independently while sharing critical information and collaborating effectively with colleagues
• Strong organisational, prioritisation, and follow-through skills
• A customer-centric mindset and willingness to investigate issues in detail
• Previous experience supporting, mentoring, or managing team members
• Fluency in English
