Our client operates eight hospitality venues across London. The portfolio includes cocktail bars, pubs, restaurants, late-night venues and event-led spaces, each with its own customer profile, operating model and brand identity.
The Opportunity
We are looking for an experienced Events Sales & Booking Coordinator to manage inbound event and group-booking enquiries across the client’s London venue portfolio.
This is a customer-focused role where events and hospitality experience is more important than traditional sales or cold-calling experience. The majority of enquiries will be inbound, with the successful candidate responsible for understanding what the customer is looking for, asking the right questions, recommending the most suitable venue and ensuring the enquiry is handled professionally from first contact through to confirmed booking and handover.
Required Experience and Skills
Strong previous experience in events, hospitality, venue management, reservations, hotel events or a comparable environment is essential.
Extensive knowledge and understanding of event management and the hospitality industry.
Experience handling event or group-booking enquiries from initial enquiry through to confirmation.
Strong customer service skills and the ability to understand and respond to different customer requirements.
Confident telephone, video-call and email communication.
Excellent written and spoken English.
Strong organisational and administrative skills.
Excellent attention to detail and numerical accuracy.
Ability to manage multiple enquiries, bookings and deadlines simultaneously.
Comfortable working with CRM, booking or reservations systems.
Experience with DesignMyNight or a comparable booking system is preferred.
Commercial awareness and an understanding of how to increase booking value through appropriate upselling.
Main Responsibilities
Manage event and group-booking enquiries received by telephone, email, website forms, DesignMyNight and approved third-party channels.
Respond promptly and professionally to all inbound enquiries.
Build a strong understanding of the customer’s event requirements, including guest numbers, dates, timings, budget, event type and specific requirements.
Ask the right questions to ensure the customer receives accurate and relevant information.
Recommend the most appropriate venue, package or space based on the customer’s requirements.
Cross-sell alternative venues, dates or times when the customer’s first choice is unavailable or unsuitable.
Provide accurate quotations, booking information and confirmations.
Upsell approved packages, food and drink options, premium areas and relevant additions where appropriate.
Follow up with enquiries to maximise conversion and prevent opportunities from being lost.
Coordinate deposits, invoices, pre-orders, booking reminders and final information required before venue handover.
Maintain accurate and comprehensive booking-system and CRM records.
Ensure all customer requirements and agreed arrangements are clearly documented for the relevant London venue team.
Conduct remote client meetings and virtual venue introductions where required.
Coordinate physical venue showarounds with London venue managers when required.
Carry out warm follow-up with previous customers, lapsed enquiries, agents and approved prospect lists.
Maintain an accurate pipeline and ensure all enquiries are followed up appropriately.
Provide regular activity, pipeline and booking updates to the client and third-party manager.
Work closely with venue teams to ensure bookings are achievable and commercially appropriate.
This is an opportunity for an experienced events or hospitality professional to take responsibility for managing event enquiries for an established portfolio of London venues, working directly with customers and venue teams to maximise bookings and deliver an excellent client experience.
