Ferguson Industrial is seeking a detail-oriented, proactive Project Management Coordinator to support ACE Projects and large, national Valve & Automation opportunities. This role works side by side with ACE Projects teammates throughout the complete project lifecycle - from RFQ intake and quotation support through order execution, documentation, expediting, change management, and final closeout.
The coordinator will create capacity for the technical and commercial project team by owning critical tracking, organization, communication, and process-management activities. The ideal candidate is comfortable bringing structure to complex work, anticipating needs, and improving the tools and workflows used to manage multiple projects simultaneously.
This position is designed as a hybrid or in-office role, with preferred locations in La Porte, TX; Cincinnati, OH; Chicago, IL; Nashville, TN; Apex, NC; or one of our other 16 Valve Automation Centers across the country. While exceptional remote candidates will be considered, preference will be given to applicants who can work in a hybrid or on-site capacity to support collaboration, training, and team engagement.
Key Responsibilities
- Project lifecycle coordination. Support large, multi-site EPC Valve & Automation opportunities from RFQ intake and quotation through order placement, execution, delivery, and project closeout.
- Front-end RFQ support. Coordinate opportunity intake, bid calendars, addenda, specification and document organization, completeness reviews, clarification logs, missing-information follow-up, and internal handoffs.
- Quotation workflow support. Maintain accurate quote status, milestones, priorities, due dates, action items, and supporting documentation so ACE Projects teammates can focus on technical review, product selection, pricing, and customer strategy.
- Project expediting. Lead proactive follow-up with manufacturers, vendors, and internal partners to confirm production status, documentation commitments, shipment dates, and delivery performance.
- Day-to-day project operations. Support site buys, buyout tracking, vendor acknowledgments, order records, and other routine coordination needed to keep quotations and awarded projects moving.
- Documentation management. Coordinate submittals, technical drawings, certifications, inspection and test records, data books, O&M manuals, and final turnover packages in accordance with customer and project requirements.
- Systems ownership. Own and maintain ACE Projects operational systems, including Parspec, Smartsheets, the quote tracker, dashboards, Teams channels, SharePoint/shared drives, standardized folder structures, document registers, and project records.
- Parspec adoption. Use Parspec to organize project specifications and supporting documents, improve information accessibility, support compliant submittal development, and help expand consistent adoption across ACE Projects.
- Milestone, action, and risk tracking. Maintain project schedules and open-item, decision, clarification, risk, and escalation logs; identify potential delays or gaps and drive timely follow-up with the appropriate owner.
- Change management support. Track scope changes, revised requirements, approvals, documentation impacts, change orders, and schedule implications while maintaining a clear project history.
- Cross-functional communication. Coordinate with customers, EPCs, contractors, vendors, manufacturers, shops, and internal stakeholders to communicate status, resolve routine issues, and maintain alignment.
- Meeting coordination. Organize and facilitate project, vendor, and manufacturer meetings; prepare agendas, document decisions and action items, and follow through to closure.
- Reporting and capacity visibility. Develop and maintain practical reporting on quotation status, project milestones, overdue items, documentation progress, vendor commitments, workload, and emerging execution risks.
- Process and SOP development. Help build, document, and continuously improve ACE Projects SOPs, templates, checklists, workflows, quality controls, and handoffs across the project lifecycle.
- Continuous improvement. Identify emerging team needs and recommend or implement practical tools, workflows, and controls that improve capacity, visibility, consistency, and customer execution as ACE Projects grows.
- Technical and commercial coordination. Assist the ACE Projects team with organizing and reviewing commercial and technical requirements, identifying missing information, and tracking questions to resolution; escalate product-selection, pricing, or contractual decisions to the appropriate project owner.
Qualifications
- 3-5 years of experience in industrial inside sales, project coordination, expediting, documentation management, or a related project-support role; EPC project experience is strongly preferred.
- Working knowledge of Valve & Automation, PVF products, materials, manufacturing processes, or industrial project workflows is strongly preferred.
- Experience supporting large or national projects with complex schedules, multiple stakeholders, and demanding documentation requirements.
- Demonstrated ability to organize high volumes of technical and commercial information with strong attention to detail and accuracy.
- Advanced proficiency with Microsoft Excel, Teams, SharePoint, PDF software, and project or document tracking tools; experience with Smartsheet and Parspec is preferred, with the ability and willingness to become highly proficient in both.
- Strong written and verbal communication skills, including the confidence to follow up proactively, document commitments, and escalate risks appropriately.
- Ability to work independently in a remote environment while managing multiple priorities, deadlines, and concurrent projects.
- Customer-focused, collaborative, and process-minded approach with strong problem-solving skills and a willingness to learn the technical and commercial quotation process over time.
