People Operations Coordinator (part-time, student)

As a People Operations Coordinator, you will play a crucial role in the People Operations team, which owns the administrative spine of the employee lifecycle at Epidemic Sound. Your role will be to deliver the recurring people administration that keeps employment agreements, HR system records and employee documentation accurate, timely and compliant.
You will report to the Director of People Operations and take your priorities from the People Advisor, who distributes the week’s tasks and follows up on delivery. This is a part-time, hourly role of around one day a week, and the hours can be spread across the week. The team is working towards an AI-first way of operating, so you will use the automated workflows that exist and help flag the work that still feels manual.
Your key responsibilities include
Execute recurring administrative tasks across the employee lifecycle, including onboarding, offboarding and the system updates that follow.
Prepare employment agreements, amendments and consultant contracts from established templates, keeping HR systems updated accurately as you go.
Maintain employee and consultant data across HR systems, protecting data accuracy, integrity and compliance with internal policy.
Issue employment certificates and other employment-related documents on request, and compile standard reports for internal and external use.
Support the HR inbox as second line, handling routine and recurring requests and escalating to the People Advisor when a case needs judgement.
Flag repetitive and manual tasks as candidates for automation.
Requirements
Currently studying towards a degree in human resources, business administration, economics or a related field.
Experience in administrative or coordination work where accuracy and deadlines mattered, whether from a job, a placement or a student association.
Clear written and verbal communication in English, and a service orientation that makes everyday contact with employees and managers easy.
The habit of checking your own work before it leaves your hands, and sound judgement about confidential information.
Curiosity about the systems you work in, and a willingness to say when something feels unnecessarily manual.
It would also be music to our ears if you have experience in an HRIS or other people data platform, or familiarity with Swedish employment documentation.
