Job Title: Connections Coordinator

Department: Marketing Operations

Reports To: Marketing Operations Director

Revised Date: October 2026

FLSA Status: Non-Exempt

Position Summary

The Connections Coordinator turns interest in BCH into meaningful next steps. As an initial point of contact for people who respond to BCH’s digital outreach, register for events, or ask questions online, the coordinator uses HubSpot and approved BCH scripts to understand each person’s interests, answer first-level questions, and route qualified inquiries to the appropriate internal team. The role also supports outbound event invitations, event follow-up, church engagement, and scripted donor communications in coordination with the Advancement team. Accurate CRM records, timely responses, and thoughtful handoffs help ensure that no inquiry is overlooked.

Qualifications:

Required

· Personal relationship with Jesus Christ, active involvement in a local church, and agreement with BCH’s statement of faith and mission.

· Strong customer service and hospitality mindset, treating each person who contacts BCH as a guest to welcome.

· Warm, clear communication skills by phone, email, and text, with comfort making outbound calls to people not previously known.

· At least one year of experience in customer service, inside sales or sales development, admissions, a call center, church guest services or connections ministry, or similar people-facing work.

· Ability to follow scripts and defined processes while communicating naturally and sincerely.

· Strong organization, reliability, and ability to maintain accurate records in a customer relationship management (CRM) system. HubSpot experience is preferred; experience with another CRM and ability to learn new systems are welcome.

· Ability to work independently from home with a quiet workspace, reliable internet access, and a consistent part-time schedule.

· Ability to travel to Thomasville, North Carolina, for one in-person team day each month.

· High school diploma or equivalent.

Preferred

· Experience in foster care, adoption, or children’s ministry, including as a volunteer, foster or adoptive parent, or church leader.

· Familiarity with North Carolina Baptist churches and associations.

· Experience in donor relations, fundraising calls, or event promotion.

· Some college coursework or a degree in communications, ministry, marketing, social work, or a related field.

Essential Responsibilities

Inbound Response and Qualification

· Respond to digital inquiries received through HubSpot, including website forms, advertising and social media leads, event registrations, and online questions, typically within one business day.

· Use approved BCH scripts and qualifying questions by phone, email, and text to understand the person’s identity, location, area of interest, and readiness to take the next step.

· Respond to common first-level questions using approved information and recognize when questions should be referred to a program team.

· Record conversations and relevant information in HubSpot, including contact details, interest area, qualifying responses, and lead status.

Handoffs and Workflow Coordination

· Route qualified inquiries to the appropriate internal team or owner, including foster care licensing, adoption, cottage parent recruiting, church mobilization and training, Advancement, events, or volunteers.

· Provide clear summaries with handoffs so the receiving team has the information needed for effective follow-up.

· Receive speaking and preaching requests from churches, associations, and outside events; gather the date, location, audience, and topic; coordinate with the appropriate BCH staff member; confirm details with the host; and log the engagement in HubSpot.

· Track handoffs in HubSpot and follow up with internal owners when a lead has not been contacted within the agreed timeframe.

· Identify recurring questions, broken forms, confusing advertisements, or scripts needing improvement and share observations with Marketing Operations.

Outbound Event Promotion

· Invite target audiences to BCH events by phone, email, and text using approved scripts and HubSpot lists. Events may include Discover BCH information meetings, Thrive, regional trauma training, Food Roundup, and other scheduled events.

· Coordinate church-facing invitations to pastors, church leaders, and associational mission strategists with the Church Mobilization and Training team.

· Confirm registrants before events, respond to logistical questions, and follow up with attendees and those who registered but did not attend.

Donor and Attendee Engagement

· Make scripted introduction, invitation, thank-you, and follow-up calls to prospective and current donors as directed by and in coordination with the Advancement team.

· Record donor and attendee interactions in HubSpot and refer warm conversations to the appropriate Advancement staff member.

CRM Maintenance and Reporting

· Maintain accurate contact records, merge duplicate records when appropriate, update statuses, and apply lists and tags consistently.

· Prepare a brief weekly report covering inquiry volume, response time, qualified leads by interest area, completed handoffs, and event responses.

· Jesus First: every call, email, and text points people toward the gospel and the mission, not just a program.

· Work as Team: your handoffs make the program, mobilization, events, and advancement teams better at their jobs.

· Serve Urgently: a family or church leader who reaches out hears back quickly, because a fast response is often the difference between a yes and a drift.
