Administrative Assistant
Position Duties
The Loudoun County Department of General Services (DGS) is currently seeking a mid-level administrative professional to support Transit and Commuter Services operations in Leesburg. The ideal candidate will have experience managing multiple complex administrative tasks in a fast-paced office environment and will possess the ability to provide exceptional customer service to both internal and external customers.
The successful candidate must also have a professional phone demeanor, strong written communication skills, and be detail- oriented. This position requires prior experience with standard office equipment such as printers, copiers, fax machines, and desktop scanners.
Responsibilities include, but are not limited to:
- Provide customer service and commuter assistance, serving as the primary point of contact for phone, email, and in-person inquiries related to transit, commuter services, ridesharing, and transportation programs.
- Provide personalized trip-planning assistance, manage lost and found services, assist with SmarTrip card issues and refunds, direct customers to appropriate resources, and coordinate with regional transit agencies and vendors as needed.
- Administer transit and commuter programs, including processing SmarTrip and parking refunds, Bike on Bus passes, bike locker applications, EZPass inventory, Commuter Connections ridematching registrations, Guaranteed Ride Home (GRH) enrollments, and other commuter benefit programs.
- Maintain transit operational records, reporting, and compliance, including conducting passenger count audits, documenting and researching transit events, preparing reports, maintaining required operational records, and submitting required data to regional partners.
- Support transit communications, outreach, and customer information, including drafting communicationspublic information emails, creating and distributing bus schedules, maintaining transportation information displays throughout the County, and ensuring public information is accurate, current, and readily available.
- Provide administrative and financial support, including assisting with purchasing activities, processing and reconciling credit card transactions, maintaining P-Card inventory, and supporting departmental financial record-keeping.
- Coordinate office operations and administrative functions, including scheduling meetings, ordering office supplies and equipment, handling incoming and outgoing mail, managing records storage and retrieval, and supporting daily office operations.
- Represent the County in regional transportation initiatives and support departmental projects, including serving on the Commuter Connections Ridematching Committee, coordinating with regional partners, assisting with special projects, and performing other administrative duties as assigned.
Minimum Qualifications
High School diploma or equivalent and three (3) years of related clerical/administrative work experience with computer automated systems and office applications experience or equivalent combination of education and experience.
Preferred Qualifications:- Experience providing exceptional customer service in a fast-paced public, transportation, or government environment.
- Knowledge of public transit, transportation demand management (TDM), commuter services, or ridesharing programs.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint) and experience working with databases or customer relationship management (CRM) systems.
- Proficiency with Google Maps.
Other Qualifications
Employment is contingent upon successful completion of pre-employment criminal, credit, and DMV record background checks. Valid driver's license and good driving record when required for job-related duties.
Work Schedule and Physical Requirements
- Must be able to lift 20 pounds.
- Regular office hours are Monday to Friday, 8:30 a.m. – 5:00 p.m.; however, hours may change as needed.
- This position is eligible for partial telework one (1) day per week, in accordance with County and Department policies.
Benefits
Employees hired into Regular Part-Time Intermittent positions are eligible for limited County employee benefit programs, based on the position’s regularly scheduled hours. Benefits eligibility for temporary employees are dependent on duration of assignment and number of scheduled hours.
