The Team The mission of the Global Policy & Advocacy (GPA) division is to understand and shape the public policy debates affecting the foundation's work, build support for its major program and policy objectives, and develop partnerships and alliances that can advance the foundation's objectives nationally and globally. Because the foundation's resources alone are not enough to solve the challenges ahead, GPA also supports advocacy efforts to engage diverse stakeholders and promote innovative solutions that advance our program goals. We work in close partnership with grantees, our colleagues in the Global Health, Global Development, Global Growth & Opportunity, U. The Europe, Middle East and East Asia (EMEEA) team leads the foundation’s geographic presence in the largest donor countries outside North America and China, covering Europe (with a focus on UK, Germany, France, Italy, Spain, the Nordics, Netherlands and European Union institutions), the Middle East (Arab League countries) and the Asia-Pacific region (Japan, South Korea and Australia). EMEEA acts as the bridge between foundation teams and donor markets by offering deep insights on the geo-political landscape, media and public attitudes, and the foundation’s advocacy priorities. EMEEA works alongside a vast network of grantees and partners - including media, civil society organizations, think-tanks and academic institutions - to support the foundation’s overarching strategic goals. Your Role The Program Coordinator, EMEEA will be responsible for managing, coordinating, implementing, and maintaining a range of projects and activities throughout the life cycle of grants and contracts. You will act as a primary investment process advisor and contact for grantee/vendor initiation, reporting and closure, and serve as a primary liaison across multiple internal teams throughout the lifecycle of an investment. Beyond investment management, you will support the development of team and GPA division process improvements and roll-out efforts of new internal processes, in support of the efficient operations of the team and in coordination with Seattle colleagues. This is a limited-term position (LTE) until 31 December 2027, based at the foundation’s office in London. Relocation will not be provided. The role reports to the Senior Manager, Strategy, Planning and Management, EMEEA. What You’ll Do Grants and Contracts Administration: Work with Program Officers, grantees, and business partners during early stages of grant making (e.g., sending out requests for proposals, driving key deadlines for submissions and revisions). Assist with grant management and evaluation by requesting and reviewing written materials (including reports). Grant and Contracts Coordination: Manage the development, management, and close out of grants. Coordinate contracts, including tracking of invoicing and deliverables, receipt of required reports and supervising expenditures. Coordinate the end-to-end contract and grant processes with internal parties (contracts, grants & legal and finance business partners) and external parties (vendors & grantees) within the INVEST system. Data Input, Management and Analysis: Manage data for all grants and contracts in multiple databases and SharePoint sites. Provide detailed financial analysis and ensure data integrity to support team's financial decision making. Work with the Senior Officer, Senior Program Coordinator and Investment Owners to keep all pertinent information accurate and up-to-date for reporting and analysis; serve as point-person regarding budget targets and individual investment portfolio management. Conduct budget analyses for contracts, grant proposals, and grant annual reports to ensure consistency with project objectives and alignment with strategic priorities. Portfolio Management: Monitor/manage progress of owned portfolio against payout targets. Track programmatic goals and results in coordination with leadership. Develop relationships with key internal and external partners. Work with leadership to develop processes and tools for performance management. Work in conjunction with the Senior Program Coordinator on activities related to the management of the Portfolio to ensure sufficient knowledge exchange within the team. Partner Liaison: Act as primary support for grantee/vendor initiation, reporting and closure. Serve as liaison across multiple internal teams. Responsible for high-quality interactions and clear and consistent communication with grantees and partners in the field. Subject Expertise: Acts as subject matter authority on processes, tools, systems and templates and provides training, ongoing coaching and process change support to program team and external partners to ensure successful adoption and sustained use. Manage investment workflow and data systems onboarding for new hires. Your Experience Bachelor’s degree or equivalent demonstrated experience. Project management, portfolio management, financial management, financial reporting, non-profit or related industry and business experience is preferred. Prior experience in a support/coordination role in highly matrixed teams preferred. Grant-making knowledge a plus. Knowledge of budgeting, financial analysis, and synthesis. Ability to analyze data across multiple tools and databases. Excellent organization skills and attention to detail, with an ability to understand policy compliance. Ability to work independently and as part of an integrated, diverse team and be comfortable in multiple, high varied settings, and tight deadlines with different work and learning styles. Ability to track progress across multiple projects, with timely follow-up to ensure all work is moving forward. Ability to work with flexibility, manage multiple and competing demands, and establish priorities, and adapt within a changing and dynamic environment. Open to rapid change and able to learn new things quickly. Able to distill what is needed next, even without expertise in programmatic content. Ability to effectively communicate with internal and external partners, across hierarchical levels. Demonstrates tact and effectiveness influencing individuals and teams without explicit authority. Ability to engage in constructive dialogue, critical and creative thinking in problem solving. A preference for rigor, purpose driven measurement and good stewardship of resources. Excellent verbal and written communication skills in English.
