Learning Initiatives Fellow

The Learning Initiatives Fellow supports the planning, coordination, delivery, and follow-up of Catalyst Now’s systems learning initiatives, particularly the Learning Series and Fundraising Masterclasses, while providing coordination support to the Academic Hubs.

The role ensures that sessions are well organised; facilitators and internal teams have the information and resources they need; participants receive timely communication; and learning, participation, and engagement data are accurately documented.

The Learning Initiatives Fellow works closely with colleagues across the Community Building and Learning team, the Communications team, facilitators, and other contributors to align priorities and coordinate Catalyst Now’s broader learning offerings.

Responsibilities will include:

1. Initiative planning and coordination

• Coordinate the end-to-end delivery of Learning Series and Fundraising Masterclass sessions.
• Develop and maintain session timelines, checklists and activity plans.
• Providing coordination support to the Academic Hubs.
• Coordinate session dates using the shared team calendar and identify potential scheduling conflicts.
• Ensure that all required tasks are completed before, during and after each session.
• Maintain an overview of upcoming initiatives, deadlines and team responsibilities.

1. Facilitator and contributor coordination

• Support the identification and onboarding of facilitators, speakers and other contributors.
• Coordinate invitations, briefing calls and preparatory communication.
• Share session objectives, formats, timelines and relevant materials with facilitators.
• Follow up on presentations, biographies, headshots and other required resources.
• Provide facilitators with logistical support before and during sessions.

1. Participant communication and engagement

• Maintain and update mailing lists for the Learning Series, Fundraising Masterclasses and related initiatives.
• Prepare and send invitations, reminders, joining information and follow-up communication.
• Use mail merge and other communication tools to send timely, personalized messages at scale.
• Respond to participant questions and ensure they have the information required to join and engage in sessions.
• Support efforts to improve participant attendance, engagement and overall experience.

1. Session delivery

• Set up and coordinate virtual sessions, including links, invitations and technical requirements.
• Support speakers and participants during live sessions.
• Monitor attendance and address logistical or technical issues as they arise.
• Coordinate with team members to ensure clear roles and smooth delivery.
• Ensure recordings and other session materials are captured and stored appropriately.

1. Communications coordination

• Submit communication requests for social media promotion and other visibility needs.
• Coordinate with the Communications team on promotional timelines and required content.
• Provide relevant session information, facilitator details and supporting materials.
• Request the upload of session recordings to YouTube or other relevant platforms.
• Review communications materials to ensure information is accurate and consistent.

1. Monitoring, feedback and reporting

• Collect participant attendance, feedback and satisfaction data.
• Calculate and track satisfaction ratings using the agreed methodology.
• Prepare brief reports capturing participation, feedback, key insights and areas for improvement.
• Track progress against the Systems Initiatives KPIs.
• Identify recurring patterns in participant feedback and contribute to improvements in future sessions.
• Support periodic reporting on the reach, quality and outcomes of systems initiatives.

1. Documentation and knowledge management

• Maintain accurate and organised participant records, session reports and supporting documentation.
• Ensure presentations, recordings, communication materials and reports are stored in the appropriate shared drives.
• Keep templates, guides, checklists and process documents updated.
• Document emerging lessons and improvements to support continuity across initiatives.
• Maintain appropriate data protection and confidentiality practices when handling participant information.

1. Team collaboration

• Collaborate closely with the Systems Learning and Community Building team to align priorities and ensure coordination across the broader portfolio of learning offerings and activities.
• Collaborate with Communications and other internal teams involved in session delivery.
• Participate in planning meetings, team check-ins and post-session reflections.
• Flag risks, delays or support needs early.

For this role, we invite applications from people who have:

• Bachelor’s degree or equivalent experience in programme coordination, project management, communications, education, international development, social innovation or a related area.
• Experience coordinating virtual or in-person learning sessions, events, webinars or community programmes.
• Experience communicating with participants, facilitators and internal stakeholders.
• Strong organisational skills and the ability to manage several deadlines simultaneously.
• Experience collecting, organising and reporting participant or programme data.
• Confidence using online collaboration, communication and event-delivery tools.

• Experience with Zoom or similar virtual-event platforms.
• Familiarity with Google Workspace, including Drive, Docs, Sheets, Calendar, Forms and Learning Management Systems.
• Experience with mailing lists and mail merge tools.
• Ability to organise and analyse basic engagement and satisfaction data.
• Familiarity with shared calendars, project trackers and communication-request processes.

• Learning Series and Fundraising Masterclasses are delivered according to agreed timelines and quality standards.
• Participants and facilitators receive accurate and timely communication.
• Session records, reports and participant information are complete and well organised.
• Satisfaction ratings and participant feedback are consistently collected and analysed.
• Recordings and follow-up resources are shared within the agreed timeframe.
• Progress against Systems Initiatives KPIs is regularly updated.
• Insights from previous sessions inform improvements in future delivery.

• This internship is for 6 months, full time, 40hours/week.

• Six-month internship contract, with preference for full-time, although some part-time opportunities may be available for the right candidate.

• A 750 USD monthly stipend if you are not eligible for any other grants or scholarships.

• Early September 2026.

This position is remote and can be carried out from most regions that have 5 hours of overlap with CE(S)T working hours.
