Payroll HR Administrator

Job description

As a Payroll & HR Administrator, you will be responsible for managing accurate weekly payroll for 200+ temporary employees, ensuring payroll data is complete and accurate while meeting deadlines. You'll handle payroll queries, resolve discrepancies, maintain employee records, and provide day-to-day HR administration and employee support while working closely with clients and internal teams.

Duties and Responsibilities:

Payroll

  • Independently process weekly payroll for 200+ temporary workers accurately and on time
  • Review client timesheets and attendance data for missing workers, incorrect hours or incorrect pay rates
  • Reconcile payroll reports before submission and issue payslips
  • Process starters, leavers, pay rate changes and deductions
  • Submit HMRC payroll submissions
  • Administer workplace pension processes including NEST enrolments, contributions and opt-outs
  • Investigate and resolve pay queries promptly and professionally
  • Maintain accurate payroll records and audit trails

HR Administration

  • Maintain employee records, right to work documentation and absence records
  • Process holiday requests, sickness records and entitlement balances
  • Respond to employee queries regarding payroll, holiday, sickness and general employment matters
  • Prepare letters and documents relating to starters, leavers and employment changes
  • Support compliance and general HR administration

Operational Support

  • Build and improve trackers, spreadsheets and internal processes
  • Liaise with clients regarding missing or inaccurate payroll information
  • Escalate payroll risks or discrepancies quickly
  • Help create a smooth and professional employee experience
  • 5+ years of payroll experience, preferably with UK payroll exposure
  • Previous end-to-end payroll experience essential
  • Experience processing weekly payroll preferred
  • BrightPay experience is preferred but not mandatory
  • Recruitment agency / temporary workforce payroll experience highly desirable
  • Strong knowledge of PAYE, tax codes, National Insurance and statutory payments
  • Experience with Sage HR / Sage Payroll or similar systems
  • Experience administering NEST or workplace pensions
  • Excellent Excel and data reconciliation skills
  • High attention to detail and accuracy
  • Able to work independently and prioritise under pressure
  • Strong communication skills with a calm, professional manner
  • Senior-level experience with the ability to work autonomously and manage payroll responsibilities independently
  • Strong track record of payroll accuracy, particularly with tax codes, holiday pay calculations, and NEST pension contributions

Advantageous or Nice-to-Have Skills/Experience:

  • Experience with comparable UK payroll systems, with the ability to quickly transition to BrightPay
